The Tournament Administrator is responsible for the operational delivery and administration of Esports Wales competitions, tournaments, leagues, and championships. The role ensures competitions are delivered fairly, professionally, and in accordance with competition regulations, safeguarding requirements, and organisational policies. Tournament Administrators serve as the primary point of contact for players and teams during competitions and help create a positive competitive experience for all participants.  

Key Responsibilities 

  • Administer online and in-person tournaments, leagues, qualifiers, and championship events on behalf of Esports Wales.  
  • Manage competition brackets, fixtures, schedules, results reporting, and tournament progression.  
  • Verify player and team registrations and assist with eligibility checks in accordance with competition regulations.  
  • Act as the first point of contact for players, teams, coaches, and participants during competitions. 
  • Monitor matches and ensure competition rules are applied consistently, fairly, and transparently. 
  • Record incidents, disputes, rule breaches, and operational issues and escalate them where appropriate. 
  • Support tournament communications, announcements, and participant updates throughout events. 
  • Work closely with the Events Administrator, Production Manager, and Communications Manager to ensure competitions run smoothly.  
  • Assist with player check-in, match verification, score reporting, and event administration. 
  • Contribute to the continuous improvement of Esports Wales competitions through feedback and operational reporting. 

Safeguarding & Compliance 

  • Ensure participant welfare remains a priority throughout tournament delivery.  
  • Immediately report safeguarding concerns to the Designated Safeguarding Lead (DSL) and never investigate concerns independently.  
  • Ensure competitions are conducted in accordance with Esports Wales policies, codes of conduct, and competition regulations. 
  • Promote fair play, integrity, inclusion, and respectful behaviour throughout all events. 
  • Maintain appropriate professional boundaries with participants, particularly children and young people.  

Essential Skills & Experience 

  • Strong organisational and administrative skills. 
  • Good attention to detail and accuracy. 
  • Excellent communication and problem-solving abilities. 
  • Ability to remain calm and professional under pressure. 
  • Understanding of esports competition formats and tournament structures. 
  • Confident using digital platforms and tournament management systems. 
  • Commitment to safeguarding, fairness, and participant welfare. 

Desirable Skills & Experience 

  • Previous experience administering esports tournaments or competitions. 
  • Experience using platforms such as Battlefy, Challonge, Toornament, FACEIT, Start.gg, Smash.gg, or similar systems. 
  • Experience working with volunteers, players, or community groups. 
  • Understanding of esports rules and competitive integrity procedures. 
  • Welsh language skills.
